For EU Importers: Verify Your Suppliers' EUDR Data Before It Becomes Your Liability

As the importer, you sign the DDS and carry the legal risk. Your supplier in Asia, Africa or the Americas holds the plot data, the legality evidence and the traceability records — but can you trust what arrives in their questionnaire?

1. The verification gap nobody talks about

Most EU importers have sent their suppliers an EUDR questionnaire by now. Most questionnaires come back "fully compliant". Yet when we audit these same suppliers on the ground, the typical findings are: coordinates in the wrong datum, plot lists that cannot produce the claimed volumes, legality documents that are photocopies of photocopies, and traceability that stops at the first trader. The questionnaire is not verification — it is a wish.

Under Articles 9–12, your due diligence must be risk-based and documented. Accepting supplier self-declarations without verification is exactly what Article 10 risk assessment is supposed to prevent. Competent authorities will ask how you verified — "the supplier said so" is not an answer.

2. What real supplier verification looks like

CheckWhat we verify
Coordinate integrityDatum correctness (WGS-84 vs GCJ-02/BD-09/grid projections), polygon vs point rules for >4 ha plots, plausibility against satellite imagery
Volume reconciliationDo the declared plots have the carrying capacity for the volumes shipped? Plots vs production vs export quantities must reconcile
Legality documentationOriginal vs copy chain, harvesting rights, environmental permits, labour law compliance in the country of production
Traceability depthCan the chain be walked backwards through traders to plots — with names, addresses and roles?
System realityDoes the supplier actually run a due diligence system (SOPs, records, training) or just fill in forms when customers ask?

3. Red flags that should stop you filing the DDS

  • Coordinates clustered suspiciously (same point for many "different" farms)
  • GCJ-02 offsets: Chinese plot data that sits consistently 300–600 m off true locations on satellite imagery
  • "All documents available" but only Excel summaries, never originals
  • Trader chains where the supplier refuses to name upstream intermediaries
  • Volumes that grow after order confirmation ("the plots are flexible")

4. How we help EU importers — with 13 years of on-the-ground presence in Asia

We are based in China and have worked with Asian wood, furniture and agricultural supply chains since 2013 (EUTR era). We audit your suppliers in their language, in their context, and give you an evidence-based readiness verdict per supplier:

ServiceDeliverable
Supplier readiness assessmentPer-supplier scorecard: data quality, legality file, traceability depth, verified by document review and remote/on-site checks
Coordinate & data auditDatum verification, polygon checks, volume reconciliation — flagged errors corrected with the supplier
Questionnaire upgradeEUDR supplier questionnaire engineered so answers are verifiable, not aspirational
Supplier developmentWe train your suppliers' staff (English/Chinese) to build their due diligence system — raising your whole chain instead of dropping suppliers
DDS data packagesCustoms-ready data bundles per consignment: coordinates, species names, legality evidence, reconciliation
Faster and cheaper than switching suppliers: in most cases, a supplier two steps behind can be brought to DDS-ready within 4–8 weeks with guided remediation. We tell you honestly which ones can be fixed and which ones you should replace.
